This role provides a variety of administrative support to case managers, attorneys, and firm management. Requirements

Job Duties:


  • Support Partner and their team with their respective casework and management tasks for the firm.

  • Manage calendar and appointments for attorneys on the team— schedule team meetings, client calls, reminders, detainee Skype calls; reschedule appointments, find coverage when OOO.

  • Screen and handle calls from clients and consultations for the team, including attorneys and case managers.

  • Follow up with prior consultations and help obtain documentation for scheduled consultations.

  • De-escalate client situations when a client is upset/frustrated and only wants to talk to the attorney.

  • Help manage Partner email inbox (100+ emails daily) by drafting correspondence, delegating, or flagging for urgency.

  • Distribute government agency emails to case managers.

  • Provide Spanish language interpreting at consultations, client appointments, and for marketing efforts for the Partner’s team.

  • Run and help Audit Case Management and other Reports from Case Management System.

  • Light case manager work — handle client calls, emails, and urgent casework when the case manager is unavailable.

  • Help with daily time management and ensuring attorneys have all the files they need.

  • Provide technical support.

  • Maintain a to-do list that lists and prioritizes requested tasks.

  • Oversee Partner’s incoming mail to make sure deadlines, interviews, and hearings are accurately entered into the case management system by case managers and that meetings are scheduled accordingly.

  • Regularly run case management reports to ensure timely and accurate handling of cases and case management system by case managers and team members.

  • Perform quality control checks and pre-review filings.

  • Serve as backup for drafting fee agreements for clients.



Qualifications:


  • Bilingual English-Spanish preferred.

  • Highly organized, proactive, collaborative, detailed and process-oriented.

  • Full professional-level fluency in Spanish and English (written and spoken).

  • Proficient written, phone, and interpersonal communication skills.

  • Microsoft Office Suites and Outlook experience.

  • Demonstrated effective problem-solving and issue-resolution skills.

  • Works well under pressure, is patient and calm, and understands the importance of accuracy and timeliness.

  • Professional and courteous; positive attitude; punctual.

  • Self-starter; quick learner.

  • Tech-savvy.

  • Must have reliable transportation.


  • This position is fully in-office (not remote).


Education:


  • Bachelor's Preferred.


Experience:


  • Customer service and office experience preferred.
